This position is located in Scranton, PA.

Hours: Full-time position working 40 hours per week Monday through Friday 9am to 5pm.

UNC services include childcare centers with transportation, pre-school programs, youth programs, older adult programs, community health education, free screenings, community services, community education (free adult literacy, English as a Second Language, and citizenship classes), community revitalization, and community development (affordable housing).

Position Summary:

Reporting to the Chief Executive Officer, the Administrative Assistant will provide comprehensive administrative support to ensure efficient office operations across multiple departments at UNC. This role is responsible for managing communication among staff, performing clerical duties, assisting with daily office needs, and coordinating various organizational activities.

Responsibilities:

  • Provides administrative assistance across multiple UNC departments.
  • Assist with event planning, communication, and logistics, including scheduling via Doodle polling.
  • Manages scheduling, including appointments, meetings, and event coordination, while maintaining detailed records and minutes with accuracy.
  • Supports Cedar Center operations by fielding consumer inquiries, handling data entry, managing Salesforce, and processing requisitions.
  • Serve as the primary point of contact for consumers, directing phone calls and inquiries appropriately.
  • Provides general support to visitors.
  • Organize building activities, manage mail distribution, and oversee Community Education classrooms and conference room schedules.
  • Writes and distributes email, correspondence memos, letters, and forms.
  • Assists in the preparation of regularly scheduled reports.
  • Orders office supplies.
  • Maintains contact lists.
  • Books travel arrangements.
  • All other duties as assigned.

Education/Experience/Licensure

  • Bachelor’s degree (required).
  • Minimum 3 years of administrative experience in an office setting (required).
  • Strong written and verbal communication skills (required).
  • Excellent time management and organizational skills; ability to prioritize work (required).
  • High attention to detail and strong problem-solving abilities (required).
  • Knowledge of office management systems, equipment, and procedures (required).
  • Proficiency in Microsoft Office 365 (preferred).
